Microsoft Word - 6 Effective Ways To Optimize Microsoft Word Tools


Microsoft Word is still the most popular word processor available. But do you know how to maximize its benefits? Regardless of what version you use, you can optimize this word processor through the following tips. By following some or all of them, you can make it work more efficiently for you.

1. Change paste options
Microsoft Word allows you to copy a text in a document by retaining the format of the source and provide you options to change the copied text to match the current document's format. To choose formatting options, go to Office button. Then, click on Word Options tab and go to Advanced section. Choose a default setting that you prefer for format pasting.

If you do not want to see Copy Paste pop-up message each time you copy/cut a text, you must untick the box next to Show Paste Options Buttons option.

2. Modify the full-justification formatting
In Microsoft Word, you can use full justification to your document. However, in some occasions, this format leads to visible white spaces. To alleviate this problem and to have better looking text, you must click on the Office button, click on the Word Options and choose Advanced. Scroll down to the bottom of the advanced options until you see Layout Options. Expand it and tick the box next to "Do Full Justification The Way..." option. Then, click the Okay button.

3. Get large working area
You can obtain large working area while working on this word processor by showing or hiding the ribbon interface. You can show/hide it by clicking the down arrow icon found at the end of the Quick Access Toolbar. Then, tick/untick the option called Minimize the ribbon. You can also access this option by pressing Ctrl and F1 buttons simultaneously.

4. Utilize hanging indent
Hanging indent is a useful option but it is less frequently used by many users of Microsoft Word. This option allows you to have your first line of text not indented while the rest of the document is. You can do this by highlighting the paragraph you want to format using this option. Then, go to the Home tab and double-click the arrow icon. This icon is located at the lower part of the Paragraph pane. To select the Hanging option, go to Special dropdown menu on the Indents and Spacing tab. From there, you can indicate your preferred indentation level. After that, click Ok to apply the changes.

5. Change or remove formatting
You can do this by highlighting the text you want to remove formatting. Then, simultaneously press Ctrl and Space buttons. To revert to the default style, press these buttons simultaneously: Ctrl + Shift + N.

6. Use the Spike feature
Not too many people know about what Spike is and what it can do. This is a handy tool that works like a clipboard but it reorganizes your lists or paragraphs without cutting and pasting. To add your text to the Spike feature on Microsoft Word, select the text and press Ctrl and F3 simultaneously. Repeat these steps as many times as needed. To paste all contents of the Spike into a document, press Ctrl + Shift + F3 buttons.
